Let's settle this once and for all — "day of" or "month of," call it whatever you want, because here's the truth: having a wedding coordinator is non-negotiable if you want your big day to actually run smoothly. And we mean that in the best, most loving way possible!
Here's the thing — a coordinator's job is to coordinate (shocking, we know). Think of us as the ultimate project managers of your wedding day. We're the ones hustling behind the scenes, making sure every single moving piece is in the right place at the right time so that you and your guests can just... enjoy the magic. You'll never even know we're there — and that's exactly the point.
Now, would you want to meet your coordinator for the very first time on your wedding day and try to explain your entire vision in five minutes? Absolutely not! That's why we don't just show up on the day — we start working with you four weeks out. We want to know YOU. Your vision, your details, your vibe. We'll build out your layout and timeline, touch base with all your vendors, handle any last-minute curveballs, and become the go-to person for anything that comes up — so you can walk into your wedding day cool, calm, and completely obsessed with the person you're about to marry.
So yes, "day of coordination" is a little misleading — but hey, semantics! What matters is that we've got you covered every step of the way. Services kick off 6 weeks before your wedding day!
Here's what's included:
Planning
- Two virtual consultations before the wedding to go over all the details
- Unlimited emails and phone calls for finalizing all wedding day logistics
- A detailed wedding day timeline and itinerary — from setup to breakdown — approved by you and shared with all vendors
- Ceremony and reception layout created based on your final guest count
Vendor Relations
- Personal outreach to every vendor to introduce ourselves as your coordinator
- Review and confirm the wedding day timeline with all vendors
- Attend the final venue walkthrough to get fully familiar with the event space, seating, and room layout
Rehearsal
- Organize and run the wedding rehearsal
- Upon request, provide the wedding party with a detailed day-of itinerary
Wedding Day
- Full wedding day coordination for up to 10 hours, including setup and breakdown
- One additional assistant provided for weddings of up to 200 guests
- Oversee vendor setup for both the ceremony and reception spaces
- Serve as the main point of contact for all vendors — handling questions, approving deliveries, and troubleshooting
- Set up all personal décor including the card box, toasting flutes, guest book, unity candle, place cards, table numbers, and seating chart
- Assist the couple and wedding party in the lead-up to the ceremony
- Distribute the bridal bouquet, bridesmaid bouquets, boutonnieres, and corsages
- Make sure the entire wedding party is in position and ready to go for the ceremony
- Manage the flow of the reception including the couple's entrance, toasts, speeches, special dances, bouquet toss, garter toss, and grand exit
- Gather all personal belongings and gifts and ensure they're in safe hands by the end of the night
